These terms and conditions govern visitors’ registrations for and attendance at exhibition/Events (each a “Exhibition/Event”) hosted by Vethan Concepts Limited (VCL) (referred to as “we/our/us”), a trading division of the Vethan Concepts Group Limited (VCL).  A complete list of entities within the VCGL is available upon request.

As a possible visitor to an Event (referred to as “you/your”), please read these terms and conditions carefully because they contain critical information. By completing your registration and/or attending an Event, you agree to be bound by these terms and conditions. By accepting these terms and conditions, you also agree to our Event Code of Conduct.

1. Your registration (whether done directly by you or on your behalf) constitutes an offer to VCGL to attend the Event subject to these terms and conditions. VCGL accepts all registrations. If your registration is received prior to the Event, it will either: (a) be confirmed in writing (including, without limitation, by email), or (b) if written confirmation is not sent within fourteen (14) days of us receiving your registration, it will be deemed confirmed unless we notify you otherwise. If your registration is only received at the Event, it will be confirmed by VCGL act granting you access to the Event. VCGL has the right not to accept any registration.

2. VCGL reserves the right to change the format (including, but not limited to, from a physical Event to a virtual Event and vice versa), content, location, venue, opening hours, duration, dates, other timings, participants, and/or any other aspect of the Event at any time without notice. VCGL retains the right to withdraw any registration after confirmation, without liability.

3. Except as expressly stated in these terms and conditions and/or as otherwise expressly advised as part of the particular Event’s registration process: (a) your registration for the Event is irrevocable, and you have no right to cancel your registration; and (b) any registration fees you have paid will not be refunded for any reason.

4. VCGL has the right to cancel or change the date(s) of the Event at any time and for any reason (including those beyond our reasonable control). If the date(s) of the Event are changed to new date(s) within eight (8) months of the originally scheduled opening date of the Event, or if the Event is cancelled but is reasonably expected by VCGL to be held at any time in the next calendar year, then, unless we notify you otherwise, your registration will be deemed to be valid for the Event on the new date(s) or when it is next staged (as applicable). In the same way that it would have applied to the originally scheduled Event (with no refunds for any paid registration costs). If all or part of the Event is cancelled and is not reasonably expected by VCGL to be held in the next calendar year, then your registration will no longer be deemed to be valid for the Event (or the cancelled portion of the Event, as applicable), and, at your election, any paid registration fees for the Event (or the cancelled portion of the Event, as applicable) will be refunded or a credit note issued for the same, and you will be released from paying any additional registration fees for the Event (or the Event’s cancelled section, whichever applies). Service charges are not refundable. Personal arrangements, including but not limited to travel and lodging, are at your own responsibility, and VCGL will not be liable for any costs associated with such arrangements, even if the Event is cancelled or rescheduled for a different date(s). You understand and agree that the provisions of this paragraph are your sole recourse in the Event of cancellation or change of the date(s) of the Event, and VCGL further liability is explicitly prohibited.

5. Our Events, whether live or virtual, are primarily aimed at business executives. Without limiting the foregoing, we encourage parents to be with their wards under the age of sixteen and below during executive conference, workshops and exhibition. VCGL reserves the right at any time to restrict entry to such areas.

6. VCGL reserves the right, without liability, to refuse admission to, or eject/block from, the Event (whether physical or virtual), any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who, in VCGL’s opinion, represents a security risk, nuisance, or annoyance to the operation of the Event. You undertake to follow any reasonable directions issued by VCGL, the venue owners, security personnel, and/or management at the Event.

7. You are expressly prohibited from filming, livestreaming, sound recording, and photographing the Event, as well as transmitting any audio or visual content from the Event without permission. You agree: (a) to surrender to VCGL or destroy on demand any material in whatever media recorded in violation of this paragraph, (b) that the copyright and other intellectual property rights in any such material shall vest in VCGL unconditionally and immediately upon the creation of such material, and (c) to hold VCGL and all entities within the VCGL (as well as any employees or other representatives of the same) harmless against any claims made in relation to such unauthorized actions. Any filming, livestreaming, sound recording, or photography of the Event requires prior written clearance from VCGL.

8. You agree to filming, sound recording, and photography during the Event, which may include, without limitation, filming, sound recording, and photography of your picture (the “Content”). You acknowledge and agree that VCGL is the exclusive and exclusive owner of all rights in the Content, and you hereby waive any and all (a) rights in and to such Content, as well as (b) claims pertaining to or resulting from the Content and/or its use. VCGL shall have unlimited permission to use the Content for promotional and other purposes anywhere in the world, without payment or compensation.

9. The personal information that you provide to VCGL will be held by us on a database and, where we have appropriate authorization/justification (which may include, without limitation, express/implied consent or legitimate interests), may be shared with other entities within the VCGL and selected third parties internationally for promotional and other purposes. Your personal information may also be shared with government agencies and regulatory authorities as required by law. At some Events, exhibitors and sponsors may use lead collection software or barcode scanners. If you enable your badge (physical or digital) to be scanned by third parties at the Event, we may share your personal information with those third parties. Furthermore, your attendance at certain areas of the Event may be conditional on the provision of your personal information to third parties that have sponsored or manage such areas. VCGL has no control over how third parties use your personal information, and we assume no liability for this to the degree permitted by relevant legislation. 10. For Online-based Events only: (a) you agree to be responsible for any technological needs required to access the Event website, app, or other platform (the “Event Platform”) provided by VCGL to permit participation in the Event. We cannot guarantee that the Event Platform will run constantly, securely, or without errors or interruptions, and we take no responsibility for its temporary unavailability. We do not guarantee that the Event Platform and/or any content on it (including, without limitation, any content available for download) will be free of viruses, infections, Trojan horses, worms, and/or any other code having contaminating or harmful properties. You shall not attempt to interfere with the Event Platform’s proper operation (for example, by attempting to bypass security or tamper with, hack into, or otherwise disrupt any computer system, server, website, router, or other internet-connected device). You agree to comply with any website terms of use and/or fair or acceptable use policies indicated on any website on which the Event Platform is hosted; (b) we do not endorse or accept any responsibility for the content, or the use of, any goods or services that may be identified or described on the Event Platform; and we shall not be liable for any loss or damage caused or alleged to be caused by or in connection with the use of or reliance on any content, goods, or services accessible on or via the Event Platform, or any website or other resource linked within. (c) VCGL may provide you with a username and password. Usernames and passwords are confidential and remain the property of VCGL at all times and may not be sold, assigned or transferred to any third party without our permission. Your username and password are unique to you. You hereby agree that you will not permit others to use your username or password and you will be and remain liable for the acts of any person using your username and password, (d) any posts, messages or other materials, information or data you supply or upload to the Event Platform (‘Materials’ will be regarded non-confidential and non-proprietary, and we reserve the right to use, copy, distribute, and disclose such Materials to third parties for any reason. You hereby relinquish any moral rights in any Materials to the fullest extent permitted by relevant law. We reserve the right, in our sole discretion, to edit or remove postings to any message boards on the Event Platform, as well as delete or use electronic technologies to block or filter any Materials, but we are under no obligation to do so. You are prohibited from submitting anything that violates someone else’s intellectual property rights, is unlawful or illegal. (e) You may use the Event Platform only to gain admission to the Event; VCGL will not be in charge of keeping an eye on materials for legal compliance. You must not infringe on intellectual property rights, send spam or unauthorized promotions, or transmit harmful software such as viruses or malware. The platform is not obligated to monitor interactive services and is not liable for any loss or damage resulting from their use.

11. By attending or participating in the Event, you fully accept and assume all associated risks. VCGL does not guarantee any specific aspects of the Event, including but not limited to: (a) which exhibitors, sponsors, or attendees will be present, (b) the number of participants, or (c) any particular benefits or outcomes you may gain from attending. Except as expressly stated during the registration process, all warranties, representations, and conditions are excluded. VCGL, its affiliates, and their representatives are not responsible for any loss, injury, illness, or damage of any kind—whether direct, indirect, or consequential—arising from the Event. This includes, but is not limited to, personal injury, property damage, theft, loss of profit, business opportunities, goodwill, or data. Additionally, VCGL holds no responsibility for any products displayed or sold by exhibitors or sponsors. These limitations apply to the fullest extent allowed by law.

12. VCGL’s rights and remedies are cumulative and may be used alongside any legal rights or remedies. They can only be waived in writing and with clear intent. A delay or failure to enforce any right does not mean it has been waived.

13. VCGL may update or change these terms and conditions at any time without prior notice, and the version in effect at the time of the Event will apply.

14. If there is any inconsistency between the English version of these terms and translations in other languages, the English version will take precedence.

Activity Disclaimer

Before joining any activities offered as part of the visitor program, you should carefully assess whether you are physically and mentally able to participate. Some activities may involve physical exertion or carry certain risks. You acknowledge that improper participation in exercise-based activities could endanger your health and safety.

It is your sole responsibility to decide whether any activity is suitable for your abilities, fitness level, and health condition. If you are unsure, you should seek medical advice before participating. Should you feel unwell or unsafe at any point during an activity, you must stop immediately and get appropriate assistance.

You are also responsible for following all health and safety instructions related to any activity. If participating virtually from home or another location, you must ensure that your environment is safe, spacious, and free of hazards.

VCGL, it affiliates, and their representatives accept no liability for any loss, injury, illness, or damage of any kind resulting from participation in these activities, whether directly or indirectly related to the Event. This includes, but is not limited to, personal injury, property damage, theft, loss of profits, business opportunities, goodwill, or data. These limitations apply to the fullest extent permitted by law.
