VCGL’s operations revolve around data and information, and we take data privacy very seriously. We value our connections with consumers, clients, guests, sponsors, exhibitors, contributors, suppliers, and coworkers, as well as the confidence they have placed in us to protect their personal information.

Vethan Concepts Group Limited (“VCGL”, “we”, “our”, or “us”) respects your privacy and is committed to protecting your personal data.

Vethan Concepts Group limited is a Nigerian dynamic conglomerate and our subsidiaries are: Etcon Analytical, Asset Matrix Energy, Vethan Concepts limited, Asset Matrix Instrumentation and Automation Control Systems (AMIACS), and Perfect Events.  Products, goods, events, and service brands that are sector-focused can be found within these subsidiaries. Although they are all part of the Vehan Concept Group Limited, we often communicate with you through one of these brands.

Information We Collect

We may collect and process the categories of information which are but not limited to the following:

  • Registration details (attendee, exhibitor, sponsor, or partner)

When you sign up for an Event or use our services and/or platforms, we might get this information straight from you. As allowed by the relevant data protection regulation, we may also obtain this information from public sources and third-party partners. The information we obtain from third parties is sometimes given to us in a de-identified format, and we can only link it to you if and when you supply your email address on one of the VVGL websites.

 

Data Sharing and Disclosure by Third Parties at our Events

We may share your information with:

  • Event partners, exhibitors, or sponsors (for networking or promotional purposes)
  • Service providers supporting event operations (payment processors, IT support, marketing platforms)
  • Government or regulatory authorities, where required by law
  • Third parties in the event of a business transfer, merger, or acquisition

 

All third parties handling personal data are required to respect its confidentiality and process it only for authorized purposes. Third parties may occasionally get information about you by scanning your visitor badge or wristband, or by snapping a picture of your business card using one of our event mobile apps. We cannot access the data, are not the data controller, and are not liable for its use by third parties. Please refer to the applicable terms of use for the relevant app or any applicable third-party privacy policies for more details.

Aggregated or Anonymized Personal Data

In some cases, you might be able to access our services through your workplace or another organization. In certain situations, your employer won’t obtain any personal information about your use of our services—only aggregate data. For instance, we might mention that the majority of our registered employees have completed a specific certification course, but we won’t tell businesses which of their employees have completed a given course or which individuals are available for hire. Nonetheless, we maintain the right to notify your employer or another entity that you have been prohibited from using our services. These situations will only arise after a violation of our community standards or Terms of Service.

 

Children’s Personal Data

Children under sixteen are not the target audience for the majority of our services and products; which are geared toward business professionals. We do not intentionally collect personal information from users in this age group for the majority of our events and services, and we reserve the right to remove such information if we learn that we have done so. We might gather information from kids between the ages of 13 and 17 for a select few of our activities. We don’t gather any personal information on kids less than thirteen. The information gathered will only pertain to the parent or guardian if a child in this age range attends one of our activities.

For Product Enquiry, Sales and Administration

We also take pictures and films at our events, sometimes with speakers, sponsors, exhibitors, or spectators. To the extent allowed by applicable data protection legislation, we may utilize any images and videos we take during our events that show you as a sponsor, exhibitor, or attendee for promotional purposes. In order to keep track of the stands or exhibitors they have visited, third parties may also take pictures at our events. These third parties might also locate photos of you taken during the event and share them with you using the biometric information from your photo.

 

To Manage Exhibitor and Visitor Communications

 VCGL (and any third-party platform provider working on our behalf) will use the personal information you provide during the registration process to host and manage any virtual exhibition or event. We will also use this information to analyze visitor traffic and interactions in order to improve the event experience for attendees and give you a personalized experience.
Subject to the attendee privacy notice you may have received during the registration and login process, your personal information may be shared with the sponsor and exhibitor when you visit virtual spaces, zones, or rooms, such as an exhibition booth, to enable them to interact with you.

Your information may be shared with the exhibitor or sponsor so they can interact with you if you choose to use our virtual products (such as virtual exhibition booths, download or bookmark companies/content, attend sessions, watch videos, accept connections, and meet invites) while using our event platform. If you express interest in their items, they might get in touch with you.

 

To Personalize Your Experience On the Site And Improve Functionality

You can opt out of using our app features by changing your preferences from the app settings. We and this event’s sponsors and exhibitors may use the app data for marketing and analytics. When you use our event app, we will be collecting your personal information, including location information, to enhance your event experience and provide features like in-app navigation, alerting you about featured sessions, and suggesting content that is tailored to your interests.

To Maintain Security, Prevent Fraud, And Enforce Our Terms of Use.

It is industry norm for businesses to access and utilize specific personal data to prevent fraud and other crimes, as required by applicable law, regulation, and best practices at any time. If incorrect or erroneous information is submitted and fraud is found or suspected, facts may be shared with fraud prevention organizations and documented by us or them.

To ensure compliance with international trade sanction rules and regulations, we assess appropriate consumers, vendors, and suppliers against relevant sanctions lists. We may also collect categories of personal data as necessary by local legislation in order to obtain an event license or answer to law enforcement inquiries or requests.

 

To Comply with Applicable Laws and Regulations

Where required by law, we are not bound to obtain your consent before sending marketing or promotional communications.  Additionally, you can consent to event exhibitors scanning your badge. When you do this, the appropriate exhibitor will receive your contact information, which will then be used in compliance with the exhibitor’s privacy policy and any further notices or consents you may have received at the event.
We might also employ smart tag technology, which eliminates the need for manual badge scanning at entry and leave, to track and record attendance throughout our live sessions. The sponsors of the live sessions will have access to your personal information, and they may get in touch with you to discuss their goods and services. The personal information obtained from badge scanning will be used for access control, security, and visitor traffic analysis with the goal of improving the event experience for visitors and others. We may also use de-identified image data taken from cameras and/or location data collected via a mobile phone app and Bluetooth beacons to analyze visitor traffic and/or to assess attendance at particular seminars or presentations. Badges cannot be read remotely, so your personal information will be used to identify you at certain access points, such as VIP areas, seminars, entry and exit in other areas of the event, and provide specific location information.

 

For Our Publishing Services

If you publish work with us, your personal data, including the personal data of any named representative or beneficiary, is used in connection with the dissemination and promotion of your published work, as well as the fulfilment of any contractual obligations, as required by our legitimate interests as a commercial organization. Your name and association will appear as part of the authored work. Personal data is also used to manage payments or for other purposes, as required to complete the contract made.

In addition, we occasionally shoot photographs and videos at events related to your published work. Photos and videos recorded at our events featuring you as an author may be used for promotional purposes.

 

For Marketing

In some cases, if you have provided your mobile phone number, we may send marketing SMS/text messages or call you for marketing purposes, according to applicable local legislation. We may also send postal mailings with information about new products and events if we have a legal reason to do so and you have provided us with your mailing address. Many of our events and products are co-branded or sponsored by third-party vendors or sponsors. We may share your information with these third-party companies. When this occurs, you will be given a clear notice and the option to opt out or opt in to such sharing, as required by applicable data protection legislation.

 For Gamification

Gamification is the process of incentivizing user engagement in non-game contexts and activities through the use of game mechanics. Gamification takes advantage of a user’s innate competitive and accomplishment impulses by rewarding them for completing and repeating a specific action (for example, signing up for an event, viewing a conference agenda, or tagging a user in a photo).

 

When you download and use some of our mobile applications and interact with event-specific features, we may collect information about your behavior (for example, viewing an event guide, checking out an event schedule, viewing an attendee profile, sending a message, adding an event session to your schedule) for gamification purposes. We will score, compare, and rank each event-related activity you undertake within the mobile application against the activity information of other users. You can view this rating information and grant others permission to see, share, edit, copy, and download the content based on the settings you choose.

 

For Our Public-facing Marketing

VCGL combines the personal data that they collect from you, including much of the information in the “what we collect” section above, with personal data collected from certain trusted third-party sources, and use this information to create profiles to determine your/your company’s business interests.

For example, we will combine the information you provide as part of your event registration, the information you generate in connection with your event attendance, information obtained by us using first-party cookies and tracking technology on our websites and apps, and certain information we obtain from third parties (such as data providers) to analyze, segment, and determine which marketing segments you fall into.

This information can then be utilized by or for the advantage of our clients in a variety of ways as part of our marketing service offering, allowing them to launch bespoke and targeted advertising campaigns. Our clients can present individuals with information about items and services that they believe will be of interest to them through various channels depending on the marketing segments we have created and assigned individuals to. In many situations, we operate these advertising campaigns on behalf of clients without ever disclosing any personal information with them (including through marketing emails, social media platforms, and our advertising partners who facilitate advertising on third-party sites). In other situations, we may offer the client with information that they cannot use to identify you in order for them to launch their own marketing campaign. Our marketing related emails contain a campaign-unique “web beacon pixel” to tell us whether emails are opened, and combined with other technology, to verify any clicks through to links within the email. We may use this information for purposes including determining which of our emails are more interesting and to query whether users who do not open our emails wish to continue receiving them. The pixel will be deleted when you delete the email.

Where you subscribe to an online service, the accompanying emails similarly include a pixel. We track interaction with these emails and our online services to validate attendance for accreditation purposes, to help determine which information is of interest to you and to customize the advertisements seen on our sites

If you do not want the pixel to be downloaded to your device, do not open the links we send or opt out of email marketing or online events. This information may be associated with your personal identify.

 

Within Online Ecosystems, Bulletin Boards and Chat Rooms

 

You can opt to engage in online membership communities on our websites, which allow you to establish and post a profile and other personal information. For Enquiries and Complaints

Any personal data provided on the Contact Us page or interactive chatbots will be used to provide a response, find a resolution to the complaint or to service the request or enquiry made. The information provided will not be added to the marketing or customer prospect databases of VCGL subsidiaries.

For News Alert

When you sign up for news alerts, we collect information to deliver that service as well as to better understand our subscriber list’s history and interests. We use industry standard methods, such as image downloads, to collect information on how many emails are opened while providing this service.
